Terms of service
Last updated 17 September 2026
These terms apply between VanillaSEO ("we") and you, the client. Starting a subscription means accepting them. They are short on purpose.
1. What we do
For $500 a month we:
- Install heatmaps and session recording on your website and review what they show.
- Deploy technical SEO and usability fixes to your live site — typically five to ten a month.
- Send one plain-language report per month, on the first, covering the month before.
- Monitor your site's uptime and page speed, and tell you first when something breaks.
- Answer your emails within 24 hours, personally.
We do not provide paid advertising management, social media posting, or link buying. If you need those, we will point you at someone who does them properly.
2. Price and billing
- $500 CAD per month, charged monthly in advance.
- No setup fee, no minimum term, no tiers.
- GST is added where applicable.
- If a payment fails we will email you before anything stops. Work pauses after seven days unpaid, and nothing is deleted.
- We will give at least 30 days' notice before any price change, and it will never apply to the month you have already paid for.
3. Cancelling
Cancel from your dashboard at any time. It takes effect immediately, unused days in the current month are prorated back to you, and there is no exit interview.
We may end the arrangement too, with 30 days' notice and a refund of anything unused — for instance if we cannot get the access we need to do the work, or if we are asked to do something we think is dishonest.
4. The guarantee
Pay for 3 months. If we cannot show measurable improvement, the 4th month is free.
Measurable improvement means any of:
- An improvement in ranking position for the keywords we agreed on day one.
- An increase in organic search traffic against the baseline we recorded on day one.
- A documented usability problem found in the heatmaps and fixed.
For the guarantee to apply:
- A baseline is recorded within your first week.
- Between two and five target keywords are agreed at the start.
- You approve proposed fixes within seven days, so we can actually deploy them.
- It is measured at the end of the third month.
Claiming it takes one email. We will not argue about a baseline we set ourselves, and there is no form to fill in. The guarantee is stated on your invoice as well as here.
5. What we need from you
- Access to your website — CMS login, hosting, or your developer's cooperation.
- Access to your Google Search Console and Google Business Profile, if you have them.
- Approval of proposed changes within seven days. If we do not hear back we proceed with low-risk fixes only and hold anything that changes how the site reads.
- That you own the site, or have permission to authorise changes to it.
We will not touch anything outside the scope of the work without asking first.
6. Ownership
- Your site stays yours. Every change we make lives on your infrastructure and stays there after you leave.
- Your data stays yours. Reports, audits and heatmap findings are yours to keep, export and hand to whoever comes next.
- Our own tooling, templates and internal documents remain ours.
- We will not show your site as a case study, name you, or screenshot your data without asking you first, in writing.
7. What we do not promise
Directly, because this is where most agencies get vague:
- We do not guarantee rankings. Nobody honest can. Search engines do not take instructions from us.
- We do not guarantee traffic or revenue figures. We guarantee the work, and we guarantee the 3+1 terms above.
- We do not control Google. Algorithm updates happen and can move results in both directions.
- We are not your web host. We monitor uptime and tell you when something is down; fixing the server is between you and your host, unless you ask us to help.
8. Liability
We work carefully and we test before deploying. If something we changed breaks your site, tell us and we will fix it immediately at no charge — that is the first remedy and usually the only one needed.
Beyond that, our total liability for any claim is limited to the fees you paid us in the three months before it arose. We are not liable for indirect or consequential losses such as lost profits. Nothing here limits liability that cannot be limited by law.
9. Changes to these terms
If we change these terms we will email you at least 30 days beforehand. Changes never apply retroactively, and if you do not like one you can cancel under section 3 with nothing owed.
If anything on our website contradicts these terms, whichever is more favourable to you applies. You relied on what the page said; that is our problem to keep consistent, not yours.
10. Governing law
These terms are governed by the laws of Alberta and the applicable laws of Canada. Disputes go to the courts of Alberta — though realistically, email hello@vanillaseo.ca first and we will sort it out.
